Solace Spa 101

Appointment Times

Please arrive 10-15 minutes prior to your appointment time so you can use the restroom if needed, enjoy a cup of tea or water and a warm aromatherapy mineral foot soak for your intake time. If you are late, your appointment will still end at the scheduled time, as to accommodate our other guests. Our practitioners would like you to get the full benefit of your appointment, so please do arrive on time. We do not have an indoor waiting area but we do have a lovely garden courtyard and outdoor tea lounge you can enjoy. Social Distancing must be respected while waiting for your appointment outside at the spa.  Arriving 10-15 min early is sufficient. You can start filling out the COVID-19 screening questionnaire and our intake forms upon arrival in the tea lounge and a staff member will greet you outside.

Etiquette

Our goal is to create a nurturing and comfortable environment.

Please turn off cell phones, pagers, and watch alarms. We would like you to enjoy the moment, as well as not disturb other guests.

Please be clean, having showered the same day as your session, do not eat a heavy meal less than two hours prior to the session, and be present (not under the use of drugs or alcohol).  We have a shower and you are welcome to use it prior to your massage if needed. This must be requested and booked in advance.

Sessions begin and end at scheduled times. Payment is expected at the time service is rendered.

Spa Ritual: Forest Hydrotherapy Circuit: Please arrive 10-15 minutes prior to your appointment time. We would like you to get the full benefit of your appointment, so please do arrive on time. If you are late, your appointment will still end at the scheduled time, as to accommodate our other guests and staff cleaning schedules.  We have extended the length of the Spa Ritual and for those of you wanting to spend more time using this facility we have added a + 30 min add-on  you can pre book. Timing is important to us and we are implementing a $5 per minute late charge for any late completion of the spa ritual bookings. Payment is expected at the time service is rendered. 

Please…

  • Respect our peaceful spa atmosphere and speak quietly while using the facilities as not to disturb other guests.
  • Shower after sauna and before hot tub.
  • Remove shoes upon entry and do not wear shoes on decks; use spa slippers provided. 
  • Place soiled laundry in the laundry basket when you are finished.
  • If you are not using the tubs, please let us know or put the cover back on.
  • Do not use the electronic buttons on the tubs, except the pump on/off button on hot tub. The jets are manual.

Spa Cancellation Policy

COVID-19: We have temporarily waived our 48 hour cancellation policy if you are feeling ill. Thank you for your honesty. We ask that you please rebook when you are feeling better.

If you need to cancel or reschedule an appointment 48 hrs.  If you cancel late we charge full price for all bookings.

Our ‘no show’ policy is we charge for the full session price. Emergency cancellations are determined at the managers discretion. 

For Spa Parties of more than 2 hours we charge a 20% non-refundable booking fee if changes or cancelations are made within 8 weeks as we reserve the whole spa for your party.

Overnight Retreat Cancelation Policy

COVID-19: We have temporarily waived our 48 hour cancellation policy if you are feeling ill. Thank you for your honesty. We ask that you please rebook when you are feeling better.

All WELLNESS RETREAT reservations require a $200/day non-refundable deposit. We require a 14 day cancelation for a full refund.  Late cancellations are charged the full amount.   

All overnight Lotus Loft bookings (single night reservations) require a minimum of 5 days notice for cancellation. We require 14 days notice for consecutive night cancellations.  A 50% deposit is required for consecutive night bookings. A 50% refund for cancellations made at least 7 days before check-in. No refunds for cancellations made within 7 days of check-in.

Seniors

We offer a 10% discount to seniors on 60+ minute bookings. Please just let us know upon booking.

Payment Options

We accept cash, debit, Visa and Master Card, Paypal and advance e-transfers. 

Gratuities

We are committed to providing superior service to our guests. Our prices do not include gratuity. Leaving gratuity for work well done seems to be the norm, but of course, it is optional. Generally, 15 – 25% is customary.

Upon booking you will need to provide pre payment (charged on the day of your treatment) and a receipt will be emailed to you. You can indicate an amount of tip you would like to give the therapists in advance or there will be gratuity tipping cards in the treatment room for you to indicate 15% – 20% – 25% and then we will charge your card on file. Thank you for your patience with this new process.

Please note: A minimum of 20% gratuity is added to spa parties of 3 people or more. A minimum of 20% gratuity is added to services for all package treatments (over 2 hours), retreat treatment bookings and mobile treatments.

Gift Cards

Everyone loves the gift of Solace and our gift cards are a wonderful way to give the gift of Health and Well Being. Gift cards may be purchased for any of our products and/or services for any dollar amount or selected service.

Gift cards must be presented at the time of your appointment for payment and cannot be redeemed for cash. Gift cards are available instantly in any dollar amount on our website, by email request, at the spa or by mail. Gift cards tax is paid by recipient at the time service is rendered. If you want to include the tax or any gratuities please factor this into the amount you are gifting.

Children & Minors

Children and minors are welcome to participate in our spa services with parental consent and for children under the age of 12 please have the parent present at the spa during their appointment.

Pets

Please be welcomed by our very friendly cats Loki and Leia. They may come and greet you. They are at no time inside the spa building. If you have any concerns, please let us know and we will be happy to accommodate your needs. We do however ask that you leave your pets at home while you are visiting the spa.

Professionalism

We provide you with competent and professional care customizing each session to address your specific needs. Personal and professional boundaries are respected at all times. Our equipment and supplies are clean and safe and we keep accurate records and review charts before each session.

We perform services for which we are qualified (physically and emotionally)and able to do, and refer to appropriate specialists when work is not within the scope of practice and/or not in the client’s best interest.

Health & Safety Protocols

We strive to ensure quality outcomes by implementing an evolving plan that may be updated as we go and our staff have been specially trained with industry standards of disinfection protocols.

We ask that you please take your temperature as means of self monitoring symptoms of COVID-19. If you have a temperature over 37.5 degrees celsius or any other symptoms we ask that you please cancel your appointment and reschedule when you are feeling better. These symptoms include: fever, chills, cough, shortness of breath, sore throat and painful swallowing, stuffy or runny nose, loss of sense of smell, headache, muscle aches, fatigue and loss of appetite.

We do not have an indoor waiting area but we do have a lovely garden courtyard and outdoor tea lounge you can enjoy. Social Distancing (6 feet apart) must be respected while waiting for your appointment. We will have you fill out forms in the tea lounge and please wait there until a staff member comes to get you. Arriving 10-15 min early is sufficient. There is a washroom if needed at anytime in the spa…please enter through the door by the pond.

When physical distancing is not possible like during a spa or massage treatment the therapist will be wearing a mask.  We have sanitized fabric masks available to our guests if needed.

Guests will be required to change in the change room and put their belongings in a basket and asked to change into robes, wash their hands and use hand sanitizer before entering the treatment rooms. We will be asking you to not touch your belongings (ie: cell phones) until you leave the treatment room.
